Create a New Outlook 2003 with Exchange Profile


This "How To" describes the addition or recreation of an Outlook 2003 with Exchange profile. This "profile" is the collection of settings that connect your computer to the Exchange server. You may perform these steps if you are experiencing problems with an existing Exchange profile. The creation of a new profile provides a "fresh start" opportunity that can help solve nagging problems.

 

Please exit from Outlook before beginning this process. You must be online. If needed, you must also have a VPN connection.



Create a new Outlook 2003 Profile
  1. Exit Outlook.
  2. Click Start, then Control Panel.
  3. If Control Panel is in Category view, click the Switch to Classic View link on the left
    and then double-click the Mail control panel.
    If Control Panel is in Classic view, double-click the Mail control panel.
  4. In the Mail Setup - Outlook dialog box, click the Show Profiles button.
  5. On the General tab, click Add.
  6. In the Profile Name box, type a name for the new profile, and then click OK.
  7. In the E-mail Accounts dialog box, click Add a new e-mail account, and then click Next.
  8. Choose Microsoft Exchange Server. Click Next.
  9. Use Cached Exchange Mode should already be checked! If it is not, please check it.

    Note: The College uses two Microsoft Exchange Server addresses. Most accounts are on the EXEVS1.ag.psu.edu server. This includes all county extension staff. Others may be on the EXEVS2.ag.psu.edu server (example: Crop and Soil Sciences faculty and staff).

  10. In the Microsoft Exchange Server address enter EXEVS1.AG.PSU.EDU
  11. In the User Name box, enter your UserID. Ex. jws334
  12. Click the Check Name button.

    Note: your UserId should become your name (underlined) and the full Exchange server name should appear. If the name can't be found, enter EXEVS2.ag.psu.edu and try again. If the name still can't be found, contact Computer Support for help.

  13. Click the More Settings button. Click the Security tab.
  14. From the Logon network security drop-down menu, select  Password Authentication (NTLM).
    • If this is grayed out and you can't make the change, that is fine.
  15. Click Apply. Click OK.
  16. Click Next. Click Finish. DO NOT CLICK OK at the General tab.
  17. Be sure that the Always use this profile radio button is selected.

    Note: If you are performing these steps to create a "new" profile because you are having problems with an "old" profile, you will not remove the original profile as yet.

  18. From the drop-down list, choose the new profile that you just created.
  19. Click OK.
  20. You are now ready to open the new profile. Open Outlook normally.
  21. You should see the following message. If you don't contact Computer Support.

  22. Outlook should then open. In the lower right you will now see word Connected.

    At this point you are done. But Outlook is also downloaded a copy of your mail from the Exchange server. You will see it "Updating ..." folders in the lower right. You should allow this process to complete. You may stop it. But then you won't have access to all your mail if you then Work Offline.

    Follow-up: After 1 - 2 weeks, you can reopen the Mail control panel, click the Show Profiles button. On the General tab, select the original Profile and click Remove.

  23. To complete the remaining setup steps, start with Section 3 of the Configure Outlook 2003 with Exchange Settings.

Remove an Old Profile

If you are performed the above steps to create a "new" profile because you were having problems with an "old" profile, after 1 - 2 weeks, you can remove the original Profile.

  1. Go to the Tools menu | Select Email Accounts
  2. Click Start, then Control Panel.
  3. If Control Panel is in Category view, click the Switch to Classic View link on the left
    and then double-click the Mail control panel.
    If Control Panel is in Classic view, double-click the Mail control panel.
  4. In the Mail Setup - Outlook dialog box, click the Show Profiles button.
  5. On the General tab, select the original Profile and click Remove.
  6. Click OK.
