To do the following steps, you need to be connected to your office's network. This printer wizard will walk you through the steps to set up a printer in your office.

The HP Network Printer Wizard software will allow you to connect to an HP Printer in your office. The software is available for all versions of Windows. There are two versions of the HP Network Printer Wizard software. Version 4.00 supports wireless connections to certain HP Printer models and will allow you to connect to network printers via TCP/IP. Version 3.06 supports connecting to network printers via TCP/IP and IPX/SPX. Version 3.06 is an older version and will not work to connect all HP Printers to the newest Dell computers.

College of Ag Science EN computers should come with with this software already installed. To verify that it is installed, from the Start menu choose All Programs, then HP Install Network Printer Wizard and then HP Install Network Printer Wizard. The program will open. In the lower right corner of the Wizard window you will see the version number. If it says Version 4.00 you have the up-to-date version. Click Cancel. Click Yes.

IMPORTANT NOTE: HP Color LaserJet's should be configured with their own software from its Installer CD. The HP Install Network Printer Wizard software described here will often not be able to find these Color printers.

If you don't see this program, follow the install steps from the How to Update HP Install Network Printer Wizard to install and test the wizard. You can then proceed with these steps.

If you see Version 3.06 and would like to update to the newer version, follow How To Update HP Install Network Printer Wizard steps to remove the old version and install the new.

Are other staff in the office able to use the same printer?

Is the computer able to access the Internet?

Get Printer's Configuration page

These steps are performed on the printer itself. More specific printer model steps can be found on the HP EIO Basic Troubleshooting Steps page.

  1. Press MENU repeatedly until INFORMATION MENU is displayed.
  2. Press ITEM until PRINT CONFIGURATION appears.
  3. Press SELECT (or ENTER).
  4. Two pages are normally printed. On the EIO # JetDirect Page, look for the LAN HW ADDRESS or IP ADDRESS value. This number is the printer's TCP/IP address.
  5. Verify that this IP address is CORRECT for the printer.

    Extension offices with ICT Servers will have an IP Address that looks like at 192.168.xx.yy where the xx is replaced by your County Code and yy will start at 10 and continue with 11, 12, etc. Using Venango county as an example: 192.168.61.10, 192.168.61.11, 192.168.61.12.

    Other Extension offices will normally have a "1" in the 3rd slot instead. Example: 192.168.1.253 or 192.168.1.252. Penn State offices and the Allegheny and Philadelphia Extension offices will not match the above examples and should use the IP addresses provided to them.


  6. If your printer didn't print a page with an IP Address or shows 0.0.0.0 or an incorrect IP Address, see the Troubleshooting section.

Note: ICT recommends that you keep a copy of these pages with the printer so they may be easily accessed. Printers may "lose" their IP address due to power outages. If you are having problems printing, print the Configuration Page again.

Verify Computer can "see" the Printer via its IP Address

You will use the PING command to ensure that your computer can "see" the Printer on the network. If you are unable to PING the printer, skip to the Troubleshooting section.

  1. Click Start and choose Run. Remove any text in the box.
  2. Enter CMD and click OK.

    Note: This will open a 'C:\Windows\system32\cmd.exe' window. The window opens to a ">" prompt. Simply type all commands at this prompt.

  3. Enter the word PING, press the spacebar once, enter the IP Address of the printer. Examples:

    PING 192.168.68.10

    PING 192.168.1.252

  4. After entering the above command, press the Enter key once.
  5. After the PING is sent, you will see the message Pinging <IP address entered> with 32 bits of data:.
  6. If successful, you will see four Reply from ... lines followed by the Ping Statistics. You can go to the next section.
    If unsuccessful, you will see four Request timed out. lines followed by the Ping Statistics. Try the PING command again. Verify that the command is typed correctly. If the PING still fails, skip to the Troubleshooting section.

Temporarily Disable the Windows Firewall

  1. Click Start, and then click Control Panel.
  2. Double-click Windows Firewall (or click Security Center and then Windows Firewall).
  3. Click the Off (not recommended) radio button.
  4. Click OK.

Create Printer with TCP/IP Address

  1. From the Start menu choose All Programs, then HP Install Network Printer Wizard and then HP Install Network Printer Wizard.
  2. In the Welcome to HP Install Network Printer Wizard, click Next.
  3. To setup a computer on your office network, choose "Wired". Click Next.

    NOTE: If you don't know the IP Address, you may choose"Select from a list of detected printers (recommended)". But you should know the address assuming you printed out the
    Configuration page above.

  4. Click "Specify a printer by address", click Next.
  5. Click the IP Address radio button.

    Tip: To enter the IP address and have the cursor automatically go to the next box, type a PERIOD (also called 'dot') between the numbers as you type.

  6. Enter the IP Address of the printer into the four available boxes. Click Next.
  7. Click "Configure network printer settings for me." Click Next.
  8. Choose your driver. Click Next.
  9. Choose a Printer Name. You may leave the name at the default. You could also rename it to be more descriptive. e.g. Add a Room name or number (Front, Rm 202), add the driver used to the name (PCL, PCL 6).
  10. If this is to be your primary printer, check the "Use this printer as the default..." check box. If it isn't, leave the box unchecked.
  11. Click Next. Click Install.
  12. Leave the "Print a test page (recommended)" box checked. Click Finish.
  13. When asked if the Test Page printed correctly, click Yes.

Test Printer

  1. Print a document to the printer.

    Note: Once the printer is created, you may want to view its setup option. Open the Printers and Faxes folder. Right-click the printer and select Properties. Look for an Device Settings or Configure tab. You may need to install an extra tray. Then Enable it. You may also want to look at the Advanced tab for other Printing Defaults.

    Note: It is possible to create more than one "printer" that will print to the same device. You would do this in order to use a different DRIVER (see step 8 above). Separate drivers allow you to different options. Example: the PS or Postscript driver will allow you to 'scale' the print job (print at 150%) whereas a PCL6 driver won't allow this option.

Enable the Windows Firewall

  1. Click Start, and then click Control Panel.
  2. Double-click Windows Firewall (or click Security Center and then Windows Firewall).
  3. Click the On (recommended) radio button.
  4. Click OK.

Troubleshooting

Note: We'll start by asking several questions to troubleshoot the printer. Then we'll focus on the computer. Attempt to PING the printer again at any point. Once you can "see" the printer on the network, you can return to adding it via the HP Install Wizard.

  1. Is the printer turned on and connected to the network, and ready?

    Please verify that the printer is not listed as "offline" on its display. Also verify that its network cable is plugged in.

  2. Does the Printer print an EIO # JetDirect Page?

    If the printer doesn't print an EIO # JetDirect Page, you will not be able to assign the IP address since the printer is unable "to see" the network card. See How To Troubleshoot HP Printer with No JetDirect Page.

  3. Does the EIO # JetDirect Page display a 0.0.0.0 or incorrect IP address?
    1. Go to this HP Support Page. Follow the steps for your printer to restore the its Factory Defaults.

    2. Follow the steps in How To Assign an IP Address on HP Printers to use the HP Install Network Printer Wizard to assign the needed IP Address.

      Note: If the above How To fails and you still can't assign the IP address,
      contact Computer Support.

  4. Are other staff in the office able to use the same printer?

    Please verify that others can print or PING the printer. If others can't see it, the problem may be with the printer. If a Color HP LaserJet, be sure that you aren't getting any error messages on the printer (low toner). These error messages may not allow it to be seen on the network.

    If others are able to see the printer, then the problem is with your computer.

  5. Is the computer able to access the Internet?

    Open your Web Browser. Can you browse web pages? If not, check that your computer has a valid IP address for this office. Once it does, attempt to PING the printer again.

    1. Click Start and choose Run. Remove any text in the box.
    2. Enter CMD and click OK.
    3. Enter the word IPCONFIG and then press the Enter key once.

    What you should see ....
    If the computer is in an Extension office with an ICT Server you should have an IP Address that looks like at 192.168.xx.yy where the xx is replaced by your County Code and the yy will start at 50 and continue with 51, 52, etc. Using Venango county as an example: 192.168.61.50, 192.168.61.51. You may also see numbers that look like 192.168.1.yy where the yy will start at 2 and continue with 3, 4, etc. Example: 192.168.1.2, 192.168.1.3. You may see other numbers that start with 128.118.xx.yy, 146.186.xx.yy, or 130.203.xx.yy. If you see a valid number and are still unable to browse the Internet or PING the printer, contact Computer Support.

    Bad things to see ....
    If you see a Media State . .: Media Disconnected message, check the cable. If it plugged in, take the machine to another office with a functioning cable. Do steps a - c again. If the problem persists, call Dell Support at 1-800-234-1490 to troubleshoot the network card.

    If you see a Autoconfiguration IP Address that starts with 169.254.xx.yy, the computer is set to be assigned an IP Address via DHCP. See the Sample A (Dynamic or DHCP Address) picture from this How To. Try restarting the computer. Do steps a - c again. If you are still not being assigned an IP Address, see How To Release and Renew IP numbers and follow its steps. If you are still being assigned the 169 Autoconfiguration address, you may try assigning the computer a TEMPORARY Static address. See the Sample B (Static or Set IP Address) picture. The number you assign will depend on your office. If the computer is in an Extension office with an ICT Server you should have an IP Address that looks like at 192.168.xx.yy where the xx is replaced by your County Code. For the yy number, use the number 150. If your office network uses numbers that look like 192.168.1.yy, you would enter 192.168.1.150. Follow the Re-enter Standard College Settings steps from this How To to enter these numbers. Once these numbers are added, restart the computer. Attempt to PING the printer again. If successful, you can go back to the top and add the printer. You should not leave the Static IP address in the computer's settings. Contact Computer Support for options.
